Where gyms and studios lose people

"How do I book a PT?"

Members see a trainer on the gym floor but don't know how to book them. A name on the whiteboard isn't much to go on. A trainer's own card is.

One missed week becomes three

People start keen, then drift. A stamp card on their phone gives them something to come back for, and you can see who's turning up.

Class packs sold by memory

One person wants a 10-class pack, another a T-shirt in medium, and it's all buried in your messages. A store sends each order to WhatsApp, itemised.

Use case

How it works for a small boutique gym with three personal trainers

  1. The problem

New members are keen for a month, then drift off. The trainers' details live on a noticeboard nobody reads.

  2. Day one

Each trainer gets a card with prices and a booking button. Members join a class stamp card by scanning a QR code at the door.

  3. Every class

Reception scans the member's phone to add a stamp. Every tenth class comes with a free PT session.

  4. Every month

Class packs are sold through a WhatsApp store, and members book PT straight from their trainer's card.

What it costs: Trainer cards and a store on Basic for £10 a month. Stamp card free for the first 100 members.

An illustrative use case, not a real customer.

How you'd set it up

Three steps for a gym or studio

  1. A card for each trainer

Photo, specialities, PT session prices and a booking button. Basic covers 5 trainers, Teams covers 25.

  2. Reward turning up

Set up a stamp card for classes, or points for every pound spent. Front desk scans the member's code on a tablet at the door.

  3. Sell packs and kit

A WhatsApp store with class packs, PT bundles and merch. Members pay you the way you already take money.

Example setup

A small studio with three trainers

Three trainer cards on the Basic plan, each with their own PT session prices and booking button, and a tap stand at the front desk. A 10-stamp card for classes, with a free PT session on the 10th, stamped at the door from the front-desk tablet. A WhatsApp store with a 5-class pack, a 10-class pack and studio T-shirts, collected at the desk. An example setup, not a real customer.

How loyalty rewards work

Questions from gyms and trainers

Can each PT have their own card?

Yes. Basic (£10 a month) includes 5 cards and Teams (£25 a month) includes 25. Each trainer gets their own photo, prices, gallery and booking button.

How do members book a PT session?

On Basic and Teams, add your services and hours, and members can request a slot from the trainer's card. If you already use a class booking app, add its link to the card instead.

How do stamps for classes work?

Members scan your QR code to join, with no app. At the door, staff scan the member's code on any phone or tablet to add a stamp. You choose 6, 8, 10 or 12 stamps and the reward.

Can I sell class packs online?

Yes, through a WhatsApp store on the Basic plan. Members pick a pack, send the order to your WhatsApp and pay you directly. The store doesn't count down classes left in a pack, so keep track of that the way you do now.

Can I email members about new classes?

Email campaigns come with the Gold rewards plan (£79 a month) and above. Your WhatsApp store can also collect newsletter sign-ups.
